For Crossuite, the market leader in Belgian physiotherapy and paramedical software, this meant extending its existing platform with e-invoicing and getting the solution ready for official accreditation.

Crossuite has more than 12,000 users and handles data for over 10 million patients. The new functionality therefore had to fit seamlessly into the way users already manage patients, treatments, invoices and payments. The project also involved translating Belgian regulations into product logic and ensuring reliable communication with health insurance funds.

The result: an accredited solution, ready months ahead of the mandatory deadline. It took less than four months to go from the first designs in late April and early May to successful accreditation – making Crossuite one of the first seven eFact solutions for Belgian physiotherapists at the time.

4 Challenges That Set the Pace of the Project

With a fixed deadline and external accreditation, product decisions were closely tied to development and technical validation. Every requirement had to be understood correctly, built into the product and validated in practice as early as possible. Four areas had the biggest impact on how fast we could move.

1. Turning Belgian Regulations into Product Logic

Electronic invoicing in Belgian healthcare is governed by a wide range of conditions. For any given treatment, factors such as patient and practitioner data, the health insurance fund, tariffs, the therapeutic relationship or the prescription all come into play. The rules were spread across extensive technical, product and accreditation documentation in French and Dutch.

From these materials, we built the logic Crossuite uses to assess, case by case, whether eFact conditions are met and what the next step should be. This created a shared foundation for design, implementation and testing.

We also used AI to work with the multilingual documentation. It helped us find relevant sections faster, connect related information and gather the context needed for further product and technical decisions.

AI shortened the time between identifying a relevant requirement and building it into the product.

2. Connecting the Entire Billing Flow, from Treatment to Payment

The defined rules then had to be applied across the entire financial flow. eFact starts with a specific treatment and continues through invoice creation and communication with the health insurance fund, all the way to the received payment.

Crossuite first checks the e-invoicing conditions, prepares the required data and sends it to the insurance fund. The fund’s response flows back into the system, updating the invoice status and its history. Once payment information arrives, Crossuite matches the payment to the corresponding invoice. Reporting builds on the same data.

Users can handle e-invoicing right where they already manage treatments and finances.

3. Exchanging Data with MyCareNet

Sending invoices and receiving responses required a reliable connection between Crossuite and MyCareNet. The Belgian platform also uses flat files – text files with a strictly defined data structure.

Crossuite therefore prepares its data in the format required by the Belgian system and converts incoming responses back into the format used by the application.

We continuously validated the integration in the MyCareNet test environment and fed the results directly into the next iterations.

Continuous testing shortened the loop between implementation, feedback and the next improvement.

4. Making Accreditation Part of Development

Accreditation came with clearly defined scenarios and criteria specifying what the final solution had to handle. We built them into the functional design from the start and continuously validated each scenario in the MyCareNet environment.

From day one, the team had clear, measurable criteria for product readiness. Test results fed into further product and technical decisions and helped keep every part of the solution aligned with the accreditation requirements.

Throughout development, the accreditation criteria served as a clear point of reference.

A Head Start on the Mandatory Deadline

Physiotherapists can start using e-invoicing directly in Crossuite before it becomes mandatory in January 2027. This gives them time to adapt to the new rules in a system they already use every day.

Looking for a Long-Term Partner for Your Digital Product?

At bart.sk, we build and evolve complex digital products, including in regulated industries and international markets – from product design, development and integrations to testing and further product extensions.

Let’s Talk About Your Project

FAQ: eFact, MyCareNet and the Crossuite Project

<details>

What is MyCareNet?

MyCareNet is a Belgian digital platform that enables electronic communication between healthcare providers and health insurance funds. Physiotherapists use it to access services such as eFact, eAttest, eAgreement and Member Data.

</details>
<details>

What is eFact?

eFact is the electronic invoicing service of MyCareNet. It allows healthcare providers to send data on the care they have provided to a health insurance fund and then process the fund’s response and payment information.

</details>
<details>

What changes for Belgian physiotherapists in January 2027?

From January 2027, physiotherapists in Belgium will be required to use selected MyCareNet electronic services, including eFact. The software they use must therefore be ready for this new way of communicating and invoicing.

</details>
<details>

What does eFact accreditation involve?

The solution must meet defined technical and functional requirements and successfully pass a set of test scenarios. For Crossuite, these criteria were part of the design and development process from the start, and each scenario was continuously validated in the MyCareNet environment.

</details>
<details>

How long did it take to get Crossuite ready for eFact?

It took less than four months from the first designs in late April and early May 2026 to successful accreditation. At the time of approval, Crossuite was among the first seven accredited eFact solutions for Belgian physiotherapists.

</details>
<details>

What did eFact require in Crossuite?

The new functionality had to build on the existing management of patients, treatments, invoices and payments. The solution covers checking e-invoicing conditions, exchanging data with health insurance funds, processing their responses, updating invoice statuses, matching payments and reporting.

</details>
<details>

How did AI help with the project?

We mainly used AI to work with extensive documentation in French and Dutch. It helped us find relevant sections faster, connect related information and gather the context needed for product and technical decisions.

</details>
<details>

How does early accreditation benefit Crossuite users?

Physiotherapists can start using e-invoicing directly in Crossuite before it becomes mandatory in January 2027. This gives them time to adapt to the new way of working in a system they already use in their daily practice.

</details>

From January 2027, physiotherapists in Belgium will be required to use the electronic services of MyCareNet – the…
[199
269,312,1188,1187,212
